Data and Privacy
WiseWhale Ltd collects and retains only the personal data necessary to respond to enquiries and provide the services we have agreed with you.
Information may be collected through our website, contact forms, email, telephone or other direct communication and may include your name, email address, telephone number and any other information you choose to provide.
We use your personal information solely to respond to enquiries, deliver our services, maintain our business relationship with you and comply with our legal obligations. We do not sell your personal information or share it with third parties except where necessary to provide our services, where required by law, or where you have given your consent.
Unless you explicitly give us permission to retain your contact details, we will delete your operational contact information once the agreed service has been completed and accepted. This allows sufficient time for you to raise any questions about the service and for us to correct any issues.
We retain accounting records containing personal data where required by law, normally for six years plus the current financial year.
If you wish to receive marketing communications from us, you must give your explicit consent for us to retain and use your contact details for that purpose. You may withdraw your consent at any time.
We use HubSpot to manage customer relationships. HubSpot processes personal data in accordance with applicable UK GDPR requirements and appropriate international transfer safeguards where required.
We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse or disclosure.
Use of Artificial Intelligence (AI)
We use AI to support brainstorming, research, industry benchmarking and to assist with spelling, grammar and punctuation.
We do not input identifiable customer information, confidential business information or personal data into publicly available AI systems unless we have your explicit permission or an appropriate contractual arrangement in place.
AI is used only as a support tool and does not replace human judgement. All client work is reviewed by a suitably qualified member of our team before being delivered.
Where AI is used in our work, we retain appropriate records of prompts or outputs where necessary to demonstrate how work was produced or to support quality assurance.
Occasionally we use trusted freelancers, contractors and consultants. They are contractually required to comply with our privacy, data protection and AI policies. Unless specifically authorised by us, they must not enter identifiable customer information or confidential business information into AI systems.
Your Rights
Under UK data protection law, you have the right to request access to the personal data we hold about you, request corrections where information is inaccurate, request deletion where appropriate, object to certain types of processing and withdraw consent for marketing communications at any time.
If you wish to discuss how we store or use your data, you may contact us at hello@wisewhale.co.uk. We will acknowledge your enquiry within 30 days, explain the process and keep you informed of progress. We may need to verify your identity before processing your request.
If you are not satisfied with our response, you have the right to make a complaint to the Information Commissioner’s Office (ICO).
